Under the supervision of the Manager of Pro Bono Development, the Pro Bono Development Assistant will be primarily responsible for facilitating and administering the CLS Pro Bono Peer Academy. This includes completing intakes for potential Peer Academy clients, case referrals, legal advice clinics and workshops. The Pro Bono Development Assistant is also responsible for scheduling Peer Academy clients for legal advice clinics and for developing and maintaining Academy modules in e-learning platform. 

Key Responsibilities

  • Under the direction and supervision of the Manager of Pro Bono Development, take primary responsibility for the maintenance, coordination, and facilitation of the Pro Bono Peer Academy.
  • Complete Peer Academy intakes and schedule clients for legal advice clinics, send appointment reminders to clients, provide any other assistance needed by the Pro Bono Coordinators including facilitating legal advice clinics.
  • Review case management system for eligibility of case placement and assignment to Peer Academy participants after referral from Substantive Law Units, Helpline, and Pro Bono Team,
  • Maintain case notes in case management system to reflect Peer Academy assignments and send correspondence to clients and pro bono attorneys.
  • Maintain calendar for Peer Academy Guiding Coalition meetings and live class meetings for each active Peer Academy module.
  • Schedule volunteers, attendees, and trainers for each Peer Academy module. Send reminders and follow up as needed.
  • Maintain Continuing Legal Education (CLE) catalog for Peer Academy modules including accreditation deadlines and requirements, all supporting materials for CLE accreditation and CLE certificate expirations.
  • Coordinate with the Manager of Pro Bono Development team to determine any training modules that need to be updated to reflect current state of the law.
  • Coordinate, schedule, and record all new training segments with subject matter experts.
  • Edit, upload, and maintain all Peer Academy modules in e-learning platform.
  • Ensure that cohort participants and mentors have access to training delivery through the e-learning platform.
  • Assign and maintain mentor and participants’ access to case management system as appropriate.
  • Maintain records of case placement clients with Peer Academy participants and track case progression by sending at minimum quarterly status reports to volunteer attorneys.
  • Track volunteer attorneys’ time and expenses utilizing the case management system and submit check request for reimbursement.
  • Review client files and communicate with participants to monitor for conclusion of services and close client files in a timely manner.
  • Assist with creation of marketing materials and communications plan to recruit cohort participants and mentors for each Peer Academy module.

2.  Background and Experience

  • Bachelor of Arts degree preferable.
  • Law office and legal experience preferable.
  • Highly polished presentation and organizational skills and the ability to represent the organization effectively and consistently at public events and in various media platforms.
  • Must possess excellent legal and community partnership skills and be computer literate (Microsoft Office 365).
  • Project management skills preferable.
  • Experience developing adult learning programs preferable.
  • Must demonstrate compassion and commitment to understanding and addressing issues of low-income clients. 
  • Must be a self-motivated, professional, and capable of independently managing workload and prioritizing tasks in a fast-paced legal environment with minimal supervision. 
  • Valid Florida license, insurance, and use of auto to to perform duties and attend meetings and/or other functions throughout 12 county service area.
  • Available to travel, work weekends and evenings.

3.  Physical Requirements

  • Prolonged periods siting at a desk and working on a computer.
  • Must be able to lift up to 25 pounds at times.
